How to use Revio
Task-first guidance for the whole team. Open a topic, follow the steps.
Start here: your first session
- Sign in with your username and password, or create an account the first time; creating one needs the team's invite code from your coordinator.
- Enter the API key in Settings; the top bar changes to Key: connected. Tick Remember only on your own computer.
- Load the project: open Upload and drop the project zip the coordinator shared. The box turns green and shows what it loaded.
- Review your sections in Review: read the answer and its evidence, then Approve or mark Needs work, and leave notes for the team.
- Save your work: Write, then Save your work; you receive project_YourName.zip.
- Send that file back to the coordinator, or rely on live sync for decisions and notes if it is on.
Writing the Questions.docx
- A section line looks like

2.1 Volumes and reuse. - Questions end with a question mark; several may share one line, and each ? closes one question.
- Lines without a question mark are treated as headings, never as questions.
- Numbering is automatic: the first question under 2.1 becomes 2.1-Q1.
Example that parses correctly:

To add or fix questions later: Settings, then Questions and citations.
The library spreadsheet (.xlsx)
- One sheet must contain a column named Title; it drives everything.
- Recommended columns: Title, Authors, Year, Journal, DOI.
- Authors as
Family, A.; Family, B., Year as a four-digit year.
How each PDF gets its citation label:
- Revio compares the PDF file name with every Title.
- The best word overlap wins, and a year in the file name adds confidence.
- That row becomes the label, for example Hamdan et al. 2021.
Fix a wrong label: Settings, Questions and citations, edit the label; every quote updates instantly. The spreadsheet also feeds References, BibTeX, RIS, and the Excel workbook.
Upload and Process: getting content in
- Upload takes the project zip (fastest), or the raw documents: Questions.docx, the spreadsheet, and article PDFs. Every box confirms in green with counts, or explains in red what failed.
- Merge box, bottom of Upload: with your project loaded, drop a colleague's returned zip; their decisions, notes, edited answers, and new evidence fold in; newer timestamps win and conflicts are listed openly.
- Process reads the queued articles against every question. Steps: check the key, press Start, keep the tab open, watch the live console. Suited to batches of new papers; the full library belongs on the master platform, after which the coordinator shares the updated project.
Ask: questioning your evidence
- Quick answers fast from the strongest quotes; Deep analysis is the cited default; Exhaustive also rereads the uploaded article texts, so it needs PDFs in this session.
- Ask follow-ups; the conversation keeps its context.
- Compare two groups: filter A against filter B, for example one author against another, or 2015 against 2022, and read the contrast with citations.
Review: deciding what stands
- Detailed mode shows one question with its answer and evidence; Rapid mode deals cards, keyboard A approves, N needs work, S skips.
- Show, Needs attention ranks risky answers first; the amber strip states the exact reasons.
- Confidence 0 to 100 means how well the answer is backed: many exact quotes from several sources score high; one fuzzy quote scores low.
- Check citations verifies every [Source, p.X] against a stored quote and flags invented ones for removal.
- Trace claims maps the answer sentence by sentence to its supporting quote; rows marked NONE need editing or deleting.
- Translate renders the answer in Arabic with citations kept.
- Team notes under each question are saved with the project and visible to whoever opens it next.
- Every decision is stamped with your name and time.
Explore: browsing the evidence
- Search evidence: filter every verified quote by words, section, or source, and export the view as CSV.
- By article: each paper with everything it contributed.
- Country coverage: which countries the quotes mention, showing geographic balance.
- Heatmap: sections against top sources; darker cells mean more quotes, and a single dark column warns that a section leans on one paper.
Analytics: what each chart means
- Evidence per section: verified quotes behind each section; short bars are thin sections needing sources.
- Review status: Approved, Needs work, To review; your distance from a finished review.
- Evidence strength: exact versus close matches; more exact means safer citations.
- Top sources: which papers carry the review; one towering bar is over-reliance, cross-check it in the Explore heatmap.
- Publication years: how current the literature is; old peaks invite newer sources via the Gap finder.
- Countries: the geographic spread of the evidence.
- Confidence by section: average answer backing per section; low sections deserve review first.
- Decisions by reviewer and Activity over time: who reviewed how much, and when the team worked.
- Word cloud: the vocabulary that dominates the quotes.
- PRISMA: the article-flow diagram journals expect; edit the counts to match your search history and download the image for the paper.
- Every chart downloads as an image; one button bundles them all.
Write: producing the outputs
- Report: the answers as a Word document; pick the citation style, numbered or author-year, and approved-only if you wish.
- Manuscript: sections and answers stitched into a draft with a reference list.
- Front matter: abstract, keywords, and highlights drafted from the approved answers.
- Limitations: drafted from real gaps, single-source answers, unanswered questions, fuzzy-only evidence.
- Numbers: every figure found in the quotes with its source and page, exportable as CSV for tables.
- Originality: the share of each answer copied verbatim from quotes; high percentages should be rewritten in your own words.
- References: the reference list, BibTeX, RIS, and the Excel workbook with Evidence, Coverage, Decisions, and Numbers sheets.
- Save your work: the full project as project_YourName.zip, for the coordinator or your own backup.
Library: keeping the collection honest
- Gap finder: for unanswered questions, live candidate papers from Crossref.
- Missing: spreadsheet rows with no matching uploaded PDF.
- Scanned: image-only PDFs that need OCR before they can contribute quotes.
- Duplicates: near-identical titles to clean up.
- Consistency: an instant table of clashing numbers on the same question, plus a deeper AI audit.
Working as a team
Everyone signs in personally, so decisions and notes carry real names; the project data itself stays on each person's computer.
Rounds by file:
- The coordinator shares the current project zip.
- Each person loads it, works their sections, and sends back project_TheirName.zip from Write.
- The coordinator merges the returns and shares the updated zip.
Merging a returned file: Upload, Merge box, drop the file; newer timestamps win, notes join without duplicates, and every conflict is listed with what was kept.
Live sync:
- Open Settings and switch on Live team sync.
- Check the sync room code; teammates on the same project show the same code automatically.
- Watch for the green Live badge; from then on decisions, notes, and edited answers appear for everyone within seconds.
Evidence and articles still travel by file. The site owner switches the sync service on once; if the toggle reports that writing is blocked, tell the owner.

- Your session autosaves in this browser and offers itself back after a crash.
- Before finishing for the day, use Write, then Save your work, and keep that file; it is your complete project.
